Syncing with facilitator:

  • How comfortable are you with uploading videos?
  • If I'm uploading videos, I'll need to get the presenter ball from you.
  • What are your preferences for breakouts (participants, how many seconds on countdown after the room closes)?
Describing Webex tools:
  • Mute & unmute: Look at the participant panel above the chat panel, and find the icon next to your name. Or, look at the bottom of your screen, again there'll be the mute button.
  • Video: please turn on if that's at all possible
  • Go ahead and click on raise hand: you'll stay up until you lower hand, helpful for us to know you have questions.
  • Emoticon: how are you this weekend? Emoticons disappear after a couple seconds.
  • Annotate: At the very top, on the left or right hand side: squiggly line/ spaghetti. Once you click on it there'll be a toolbar appearing on the left.
    • Pointer: Click on the arrow and click on the screen: pointer.
    • If you're on web browser or mobile device, tablet: no Annotation tool. Chat is available regardless of where we sign in.
    • T for Type tool: click on Participant panel after you're done typing. If your color is hard to read, look at the lower icons on your tool bar, click on the colored square to change your text color. This'll not change the color of your pointer though.
  • When activity requires a checkmark: Draw an arrow to let them know that they can find the checkmark by clicking on the square icon.
Things to note during production:
  • Share files to upload all powerpoint & exercise sheets.
  • For a participant who cannot access Blanchard Exchange, ask for email via private chat to send materials there.
  • For Not-On-Roster, ask for surnames & emails. (Better in private chat).
  • Attendance: watch out for total participants (including facilitator & yourself). Account for any duplication of participants (because sometimes they log in via phone and laptop). Be aware of who joins and leaves the room later in the session.
  • Sometimes sharing a screen with videos, even if we click on share sound, doesn't work. Be ready to have the files downloaded to share file as usual.


I’m starting a WebEx meeting now where I am not set as the host > Host key to input Under Participant menu. OR, worst case, when the meeting opens automatically 15 mins before the start, you can enter the host key. It depends how they set the start time of the session when it opens. OR, just use Lisa or Steve credentials and change your name.
